The fundamental resources of project a manager’s every day activity are data and information. Of course, project manager can make decisions, define strategies, resolve deviations and measure progress status of project based on data and information. The effectiveness of the project manager can be decided based on accuracy of data and information.

Significant amount of data is collected, analysed and transformed throughout the life cycle of a project. Regularly collected data are analysed in context, aggregated and transformed to become project information. Project data are collected as a result of various processes of knowledge areas and are shared within the project team.

Information is stored or communicated verbally and distributed in various formats as reports.

What is work performance data?

Raw observations and measurements recognized during activities accomplishment to carry out the project work is also known as work performance data. Data are often viewed as the lowest level of detail from which information can be retrieved by other processes of knowledge areas. 

In other words, it is the current status of various project parameters, such as how much work has been finished, total time elapsed, and the cost incurred up until now. You can also create work performance information using work performance data.

What are the different types of Work Performance Data?

The various kinds of work performance data are:
  • Percent of work physically completed
  • Story points completed
  • Schedule Progress
  • Key performance indicators (KPIs)
  • Quality performance measures
  • Technical performance measures
  • Deliverables status
  • Actual start and finish dates of schedule activities
  • Number of change requests
  • Number of defects
  • Actual costs incurred to date
  • Actual duration, etc.
Project data are usually recorded in a Project Management Information System (PMIS) and in project documents.

What is Work Performance Information?

The information that can be derived using work performance data is also known as work performance informationThe performance data collected from various controlling processes, analysed in context and integrated based on relationships across areas.

As you can see in figure below, Work performance data is gathered through work execution and went to the controlling processes.

Work performance data are compared with the project management plan components, project documents, and other project variables to become work performance information.

What are the different types of Work Performance Information?

The various kinds of work performance information are:
  •  Status of deliverable
  •  Implementation status for change requests
  •  Forecast estimates to complete, etc.

What is Work Performance Report?

Work performance reports organize and summarize the information collected from various process and present it to the relevant stakeholders. In other words, Performance reports shows the status of the project to the stakeholders and its performance against the planned baselines. 

Work performance reports are physical or electronic representation of work performance information accumulated in project documents, which is expected to create decisions, actions or awareness. Work performance reports have a significant role in project management.

Work performance reports permits all stakeholders to be aware of project performance and keep them up to date with the project manager. Work performance reports rely upon work performance data and work performance information.

What are the different types of Work Performance Reports?

Work performance reports can contain earned value graphs and information, trend lines and forecasts, burndown charts, S-Curves, bar charts, run charts, histograms, tables, contract performance information, and risk summaries.

They can be presented as dashboards, heat reports, stop light charts, or other representations useful for creating awareness and generating decisions and actions.

The various kinds of work performance reports are:
  • Status reports
  • Progress reports
  • Trends reports
  • Memos
  • Justifications
  • Earned value reports
  • Forecasting reports
  • Variance reports
  • Information notes
  • Electronic dashboards
  • Recommendations
  • Updates, etc.
